• Provide technical support and troubleshoot performance issues

When We Share Information

We do not sell or rent your personal data. We share it only with:

• Trusted vendors who perform services for us (payment processors, email delivery, analytics, domain registrars, certificate authorities) under contractual confidentiality obligations

• OpenAI when you use AI features, strictly to generate the requested output

• Authorities or other parties when required to comply with law, prevent fraud, or protect the security of our platform

• A successor entity in the event of a merger, acquisition, or asset sale (you will receive advance notice)

Cookies & Similar Technologies

We use first-party cookies and third-party analytics pixels to:

You can disable non-essential cookies in your browser or via our cookie banner; essential cookies for security and core functionality will still operate.

Data Retention

• Account records, invoices, and support tickets – kept for at least seven years to satisfy accounting and legal obligations

• AI request/response bodies – stored by OpenAI for up to 30 days, then deleted; your personal copy stays in your account until you delete it

• Backups – rotated every 30 days unless a longer period is part of your hosting plan

Your Privacy Controls

• Access or update your profile in the client portal at any time

• Request deletion of support tickets, AI conversations, or entire accounts (subject to legal retention requirements)

• Opt-out of anonymised prompt-improvement analysis by emailing support@darkhorsevirtue.io with “AI OPT-OUT” in the subject line

• Unsubscribe from marketing emails via the link in each message

Data Security

We use TLS encryption in transit, hashed-and-salted passwords at rest, network firewalls, routine patching, and least-privilege access controls. While no system is perfectly secure, we continuously monitor and improve our safeguards. Please notify us promptly of any suspected breach.

Children

Our Services are not directed to children under 13, and we do not knowingly collect personal data from children.

International Users

Our servers are located in the United States. By using the Services you consent to the transfer and processing of your data in the U.S. and any other country where we or our service providers operate.

Changes to This Policy

Material changes will be posted here and announced by email to account holders at least 30 days before they take effect. Non-material edits (clarifications, typo fixes) may be applied without separate notice.
